Main Purpose of Post

The post-holder’s main duty will be to answer telephones, record and deliver messages, return and follow-up telephone calls, greet visitors, students and University staff courteously, direct them to the respective departments for help and perform appropriate administrative duties..
Person specification
Applicants should have, or be able to demonstrate:

*

A good Bachelor’s degree or equivalent qualifications and preferably some good experience of working in a professional administrative environment.
*

An understanding of higher education academic contexts will be of an advantage.
*

Service sector experience
* Ability to liaise with the public, external bodies, University staff and students in a personable and friendly manner
* Good interpersonal skills


Skills, Qualifications and Personal Requirements

*

Proactive approach.
*

Strong written and spoken English language communication skills.
*

Competency in computer applications, preferably MS Office
*

Good Customer care skills and commitment to quality customer care.
*

Strong communication and presentation skills.

Duties and Responsibilities

*

Answering all incoming calls in a pleasant manner and directing them appropriately
*

Greeting all visitors who come at the reception and alerting the person they are there to see on their arrival
*

Taking messages and relaying them to the intended persons timely, returning telephone calls if necessary
*

Servicing meetings as required.
*

Handle all incoming and outgoing mails, ensure posted mails are received and forwarded to the addressees appropriately.
*

Maintain the reception area neat at all times by coordinating with the cleaners.
*

Take self initiative to ensure the reception area is not crowded. Attend to the visitors, students and staff nicely and swiftly.
*

Respond to visitors’ needs, special requests and complaints and alert the appropriate manager as needed.

*

Order through the Facility Manager all front office supplies
*

Uphold and promote the university’s mission, vision and values.
*

Monitor staff movements as required.
*

Perform other appropriate duties as may be allocated to you.
