Job Title: Facilities Coordinator
Report to: Operations Manager
Job Summary:
The Facilities Coordinator will be responsible for the management of the Operations contracts particularly facilities cleaning, security and compound maintenance. The person will supervise Operations functions of facilities cleaning, Security and Refreshment and will also oversee generators and photocopiers. The Facilities Coordinator will carryout the initial contracts' orientations and periodic evaluations. Will ensure that IDI derives value for money from contracts and maintain high quality standards.
Principal Accountabilities:
Operations contracts’ management will manage all Operations contracts for cleaning, security, compound maintenance and refuse disposal. Periodically evaluate the efficiency and cost effectiveness of Operations contracts. Will be the contact person for room set ups, supplies, cleaning, and security for both routine and IDI special events. Will be the contact person between IDI and the service providers.
Supervision of facilities cleaning:
With support from the Head Facilities Assistants, ensure I that IDI facilities are clean and orderly. Will ensure that I staff are kept motivated and focused towards excellent ' services and customer care.
Stores management:
Supervise stores personnel. Ensure availability of stock, efficient use, and adequate control of inventories.
Monitor generator fuel:
With support from Engineering, ensure that generator fuel is properly track and recorded. Produce monthly fuel accountability reports for generator fuel.
Management of photocopiers:
With Engineering, ensure that projects are appropriately billed for photocopier usage. Produce monthly reports regarding projects use of photocopiers.
Education and experience:
• A bachelor's degree in Social Sciences, Business Administration or any other relevant field from a recognized University
• Five years of experience in administration with an NGO
• Demonstrated experience managing/supervising contracts
• Demonstrated experience in staff supervision and performance management
Other requirements:
• Attention to details and commitment to high quality standards
• Good oral and written communication skills
• Ability to supervise contracts and derive value for money
• Supervisory management skills with operational staff
• Proficiency in the use of computers packages of spreadsheets, word processing, Navision (for stores) and email
• Ability to work irregular hours
COMPENSATION:
Compensation for the position listed above will be commensurate with experience, and training.
