1. ADMINISTRATION & PROCUREMENT MANAGER
The Administration & Procurement Manager reports directly to the Executive Director and will be based at Head Office in Kampala. Among others, s/he will be required to manage the procurement and administration function and ensure adherence to PPDA & Pride’s policies and procedure.

Specific responsibilities include:-
• Manage all administrative issues arising in the entire Pride network;
• Ensure that all premises have properly executed tenancy agreements and foster good relationships with Pride landlords.
• Management of all fixed assets in Pride. Liaise with other departments to ensure that the corporate assets registers are maintained and up-to date.
• Ensure the engraving of furniture and equipment throughout Pride.
• Ensure the registry is functional.
• Develop appropriate systems, procedures and guidelines for the Procurement & Disposal Unit and Contracts Committee.
• Prepare the annual procurement master plan and participate in the annual budgeting process for all services and items.
• Guide the suppliers on procurement procedures for the Company including; sourcing out for suppliers, coordinating and facilitating the bidding process and drafting contracts and terms of reference for suppliers.
• Liaise with Finance department to ensure availability of procurement funds and timely payment of suppliers.
• Review usage and expenditure on all items with a view of identifying areas of cost reductions and/or service improvement;
• Ensure there are adequate stocks in stores;
• Compile procurement reports to Contracts Committee and PPDA and support Internal Audit in verification of procurement documentation
• Preparation of Board papers for the Board Committee in charge of procurement. Preparation of board justification/special board requests for new projects or emergency needs.
• Manage pre-bid meetings, bid closing and bid opening and prepare monthly reports for submission to PPDA.
• Any other duties as may be assigned by Management.

Academic Qualifications and Experience:
• Bachelor’s degree in Procurement and Supply Chain Management; Social Sciences, Commerce, Development Economics, Development Studies, Business Studies, Accounting and Finance, Marketing, Financial Services and Business Computing, Business Statistics, Social Sciences, SWASA, Education, Microfinance any other relevant and/or related field.
• Member of CIPS.
• Master’s degree in Business Administration or any Management related field is an added advantage
• S/he should possess prior experience of 4 years and above.

Person Specifications:
• Should have strong negotiation and analytical skills.
• Should have a high degree of integrity, excellent interpersonal, communication and presentation skills.
• Must be able to meet set deadlines.
• He/she should be aged between 25 - 38 years

Job Summary

Core Duties and Responsibilities

1 Driver/Logistics Assistant (2 positions to be filled)
1.1 Driver
• Operates and maintains transportation vehicles with a focus on safety and courtesy.
• Performs daily vehicle inspections and fill out daily inspection forms.
• Performs minor maintenance tasks on the vehicles when necessary.
• Manages the logging, fueling and computation of monthly vehicle fuel consumption.
• Ensures that periodic scheduled vehicle maintenance is completed and reported.
• Ensures that vehicles are clean.
• Documents staff usage of vehicles.
• Prepares trip reports.
• Prepares accident and incident reports as necessary.
• Provides safety briefing to passengers.

1.2 Logistic Assistant
• Provides other services as requested by management. Such services may include but not limited to:
• procurement of office consumables
• Taking charge of the office generator (fueling and service)
• Checking functionality/expiry of firefighting equipment
• Payment of office utility bills.
• Posting and collecting mails from the Post Office

Skills and Abilities Required.
o Ability to drive a multi-passenger vehicle safely and appropriately, including ability to read and interpret road signs in English
o Ability to read, understand, and adhere to the rules and regulations of the Elizabeth Glaser Pediatric AIDS Foundation and the Government of Uganda
o Ability to communicate effectively orally and in writing; ability to establish good working relationships with, co-workers, and upper level staff;
o Ability to prepare concise and accurate records and reports; extensive knowledge of the operations and features of assigned vehicle(s);
o Ability to recognize vehicle maintenance needs; ability to perform minor vehicle repairs; ability to read and to interpret policies and procedures, and route directions; and
o Ability to administer First Aid.

Job Summary:
 To provide high quality services to management by analysing and reporting on key financial data within NFA.

Checking and reviewing monthly returns from the FSC’s to ensure that all income due is collected, properly analyzed and banked intact. Reviewing monthly accountabilities from support offices for completeness and accuracy and preparing journals for input to the financial ledger and assisting in generating detailed income and expenditure reports on a monthly basis and that all expenditure incurred are adequately supported and in line with approved activities and budgets, properly authorized and coded. Raising and filing of debit and credit notes as need arises. Reconciling bank and control accounts for the FSC’s. Assist in preparing supporting schedules to the accounts as required by the external auditors. Assisting the Senior Accountant in preparing cash flow forecasts on a monthly basis for cash planning purposes. Any other relevant duties as Management may from time to time assign.


Minimum Qualifications, experience and skills.
Minimum of Bachelor’s degree in Commerce, Accounting, Finance or other equivalent; Partly qualified Accountant (ACCA, ACA or CPAU, CPAK). Over 2 years’ relevant experience gained from large and reputable commercial Organization.
