Objective:

This role provides a comprehensive administrative support to day-to-day operations of human resources and office administration, ensuring the efficient delivery of all HR related and office administration processes and requirements.The role liaises closely with all departments, staff and management the business, providing a customer focused and effective human resource support service to the organization to achieve the organization goals and objectives.

Duties and Responsibilities:

    Provide general administrative support such as preparing correspondence, forms and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines, and taking down minutes as needed.
    Establish, maintain and control personnel, employees, recruitment relations records, files, correspondence, reports, and organization charts.
    Manage sensitive and confidential matters like personnel relations, employee relations, and organizational changes, planning and protecting the security of information, data and files.
    Conduct research, gather data and statistical reports, and maintain statistical information.
    Keep up with current issues and matters in the organization related to HR department.
    Keep up with current issues and matters as they relate to the labour laws of Uganda.
    Administer and monitor new hire orientation programs.
    Implement training and development programs for staff.
    Assist with performance appraisals and development plans for all staff.
    Maintain and monitor records of employee benefits and salary.
    Maintain up-to-date employee file records by handling changes in   employee status in timely manner.
    Ensure effective reception or proper approvals on forms and enter changes in the system.
    Provide assistance in hiring process activities such as posting jobs  on job board or website, reviewing applications and maintaining a spreadsheet on tracking an applicant.
    Manage drivers and cleaners i.e. manage their schedules, performance, and handle all their HR related issues.
    Manage administration tasks around all Sanlam offices in Uganda.

Qualifications:

    Bachelors Degree in Human Resource Management.
    Minimum 2yrs work experience in similar role.
    Must be effective in problem-solving skills.
    Have knowledge of recruitment process.
    Have competent keyboard skills to produce accurate and well presented reports.
    Ability to present information in forms, tables, and spreadsheets.
    Should be an effectual communicator verbally as well as through writing skills.
    Should be committed to diversity and equality culture.
    Have the ability to operate under immense pressure.
    Must be proficient with basic budget management and calculations.
    Must be able to deliver effective results, meet tight deadlines and targets.

SUMMARY SCOPE OF WORK: Under supervision of the Vice President, Africa Programs, the Chief of Party (COP) will provide technical leadership and implementation management of the monitoring, evaluation and learning project in Uganda. The position will be responsible for achieving project results on time, within budget and in compliance with USAID and Danya policies and procedures.

RESPONSIBILITIES:Provide programmatic leadership, ensuring that project activities are technically sound, evidence-based and responsive to USAID needs. Meet with USAID on a regular basis and represent the project before USAID/Uganda, Government of Uganda, implementing partners and other stakeholders Establish and maintain relationships with key stakeholders, including government officials, NGOs and community groups for smooth implementation Mentor, support and supervise project staff and directly manage the key technical team Facilitate the development of annual project work plans and budgets and ensure the timely submission and quality of all project reports, materials, and publications, compliant with the contract agreement Ensure necessary program planning, development, resource availability and management activities function smoothly and efficiently

KNOWLEDGE, SKILLS AND ABILITIES:Master's degree and 10+ years of relevant experience or a compatible combination of education and experience. Degree with post-graduate level training in international development, monitoring and evaluation, organizational development or related fields A minimum of 10 years' experience in the implementation of donor-funded international development projects Demonstrated experience to manage complex, multi-year, cross-sectoral development programs, preferably in Uganda or East Africa Demonstrated prior experience working with USAID Experience developing successful, replicable and sustainable projects Expertise in research to practice identifying best practices and adapting them to program realities A team player accustomed to building team capacity, delegating working teams, and developing communities of learning Excellent interpersonal, writing, and oral presentation skills Strong change management, results oriented and decision making skills Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform Prior work experience in Uganda preferred

Ever since, UGAADEN has worked in the following five program areas: policy advocacy, research and documentation, membership capacity enhancement, information sharing and partnership enhancement. To guide the day to day management of the project in Karamoja UGAADEN is currently recruiting a Project Coordinator. With the following technical and managerial responsibilities:

Duties of the Project Coordinator

2.1 Overall management and supervision of the implementation of the project to ensure maximum efficiency, output and quality 2.2 Providing technical guidance in the development and implementation of literacy and livelihoods skills training programmes 2.3 Being the focal person for the coordination of the Project activities 2.4 Preparing designated periodic work plans and submitting them to UGAADEN Secretariat for consideration and approval by the Executive Committee 2.5 Initiating, organising and supervising the implementation of approved work plans of activities according to the given guidelines 2.6 Organising and executing Project and UGAADEN promotions, publicity and publications 2.7 Ensuring proper financial and other resource management in all aspects of the Project 2.8 Ensuring the timely preparation and presentation of narrative and financial reports as provided for in the Project documents and implementation guidelines

    Prior working experience in Karamoja and proficiency in Ngakarimojong is preferred.

    Mature personality, team-player, strong communication and leadership skills

    Gross salary up to 1.6 million UGX per month depending on work experience and qualifications.
