POSITION: PERSONAL ASSISTANT
REPORTING TO: MANAGING DIRECTOR
Key responsibilities:
• Receive and distribute all incoming and outgoing mail/faxes/Email
• Make appointments in liaison with the Managing Director and keep an up-to-date electronic diary
• Receive; screen all incoming calls to the Managing Directors office and making outgoing calls
• Type all correspondences, reports and ensuring they are properly delivered to the addressees
• Minute Secretary for the Top Management Meetings
• Arrange meetings, send out notices, typing and distributing of minutes
• Receive visitors both local and international destined to the Managing Director's office
• Make hotel reservations and arrange airport transfers for all international guests to the company, in liaison with the Managing Director.
• Make travel arrangements for the Managing Director and all staff who travel abroad in liaison with the Managing Director
• Requisition for office imprest to be used for small purchases in MD's Office e.g. drinks for MD and visitors
• Take on any other related assignments as directed, from time to time, by the Managing Director.

Minimum qualifications and skills:
Degree in Secretarial Studies from a recognized University or Institution, Excellent oral and written communication skills, excellent administrative, public relations and interpersonal skills, Working knowledge of computer application software e.g. MS Excel, MS Word, MS Power point. Knowledge of a foreign language e.g. French will be an added advantage. At least four years experience in a related role with a large International Company.
