Job Title: ADMINISTRATIVE ASSISTANT MINISTRY OF JUSTICE AND CONSTITUTIONAL AFFAIRS ADMINISTRATIVE ASSISTANT The Justice, Law and Order Sector brings together all Government Institutions responsible for the administration of Justice , Maintenance of law and order and human rights with an overarching vision of promoting rule of law in Uganda. Job Description: 1. Introduction: The Justice, Law and Order Sector brings together all Government Institutions responsible for the administration of Justice , Maintenance of law and order and human rights with an overarching vision of promoting rule of law in Uganda. The Justice, Law and Order Sector therefore invites applications from eligible, suitably qualified candidates for the position of Administrative Assistant, tenable at the Justice, Law and Order Sector Secretariat. 2. Job Description: The main responsibilities and duties of the Administrative Assistant shall be as outlined below: a) Provide secretarial services, which include: • Taking dictation, transcribing and presenting accurate and error free work. • Drafting Minutes • Drafting routine letters • Attending to callers • Attending to Visitors. • Ensuring timely response to inquiries and correspondences to and from the secretariat. • Ensuring timely and accurate dispatch of mail and information from the secretariat • Receiving incoming and outgoing mail. • Organising meetings. • Events management. b) Provide office management services, which include; • Ensuring cleanliness and orderliness of the office. • Ensuring safe custody of office equipment. • Managing office records in accordance with established security records management. • Managing office stationery and equipment • Managing inventory for all secretariat equipment. c) Provide procurement services including initiating and following up procurements and making regular reports to the Senior Technical Advisor on the Status of Procurements. d) Supervising office attendants, drivers and interns Preferred Skills: 3. Competencies: Candidates shall have the following competencies: a. Knowledge in office management and practice. b. Knowledge in Information management. c. Sound Knowledge in standard Computer Programs d. Knowledge in Secretarial Practice. e. Good Communication and Interpersonal skills. f. Good working Knowledge of Procurement and Logistical Management for a mid- sized organisation. g. Sound understanding of the operations of Government and Development Partner assistance. h. Leadership skills i. Knowledge in program management would be an added advantage. 4. Qualifications: a. Bachelor of Arts degree in Secretarial Practice b. Seven years working experience in a busy Government, Public or Private sector at the level of Personal Secretary / Personal Assistant to the Chief Executive. c. Not less than 35 years old. d. Two reputable referees who should be able to vouch for the candidate’s professional and character profile. 5. Duration of the Contract: The successful candidate shall be engaged under a three-year employment contract, with a possibility of being renewed upon satisfactory performance.
