Job Title: Senior Procurement Assistant

Grade: SB3/Midpoint (G.6 Equivalent)

Contract Type: Service Contract

Duty Station: Kampala

Duties and Responsibilities:

    Issue local tenders, evaluate offers and make recommendations for the finalisation of purchases and the award of contracts by using WFP’s corporate system;
    Review contracts for suppliers and carry out cost /benefit analysis for equipment and services procurement;
    Respond to queries regarding procurement data from staff in the unit and elsewhere in programme;
    Initiate administrative actions related to procurement information;
    Update and track processing of procurement actions ensuring a well informed client base;
    Prepare purchase orders and contracts for review by a Procurement Officer;
    Prepare statistical tables and standard reports;
    Oversee the data input into procurement related databases by procurement Assistants and provide guidance on data input and validation;
    Maintain relevant internal databases and files; keep track of contractual agreements;
    Verify claims for accuracy and conformance with procurement rules and regulations;
    Brief/debrief staff members on issues relating to procurement transactions;
    Evaluate, develop, and recommend procedures; Participate in discussions on new/revised procedures and practices; interpret and assess the impact of changes and make recommendations on follow up actions;
    Draft or prepare correspondence to respond to enquiries in respect to relevant procurement matters
    Review correspondences drafted by Assistants prior to clearance by the Officer as appropriate;
    Perform other related duties as required.

Requirement:

    A Bachelor's degree in Procurement, Finance, Economics, Business Studies or any other related field, obtained from a recognized institution;
    At least five (5) years of relevant working experience in Financial, Procurement, Logistical or Administrative fields gained from a reputable organization;
    Membership to the Certified Institute of Procurement & Supply (CIPS) is desirable;
    Good knowledge and skills in using MS Office applications;
    Excellent command of English is vital;
