JOB TITLE: RECORDS OFFICER
REPORTS TO: FACILITIES SUPPORT MANAGER
DIRECTORATE: FINANCE AND ADMINISTRATION
DEPARTMENT: LOGISTICS AND FACILITIES
SALARY SCALE: N/OF/N5
DURATION: 3 YEARS CONTACT (RENEWABLE)
Purpose of the Job:
To assist in designing and implementing the Authority’s document and information management systems including delivery and tracking of internal and external correspondences. Key Results Area/Accountabilities
 Assist in the design and implementation of the organisation’s electronic and other document management systems,
 Assist in the processes of records storage facility and the implementation of the Archives Management Plan.
 Carrying out storing, arranging, indexing and classifying Authority’s records;
 Facilitating the development of filing systems, and maintaining it to meet administrative, legal and financial requirements;
 Devising and ensuring the implementation of retention and disposal schedules;
 Overseeing the management of electronic and/or paper-based information;
 Setting up, maintaining, reviewing and documenting records systems;
 Advising on and implementing new records management policies and classification systems;
 Providing a policy framework to guide staff in the management of their records and use of the employer's records system;
 Standardising information sources throughout an organisation or group of organisations;
 Managing the changeover from paper to electronic records management systems;
 Preserving corporate memory and heritage;
 Enabling appropriate access to information;
 Responding to internal and/or external information enquiries;
 Advising staff in other departments on the management of their records and information;
 To prepare section quarterly and annual reports.
Qualifications:
 Honours degree in Records and Archive Management/Library and Information Science;

 A Postgraduate Diploma in the relevant field will be an added advantage;
 Computer literacy is a must.

Experience
 A minimum of 3 (Three) years’ experience in direct work within the records environment in a large or busy organisation; with one (1) year experience providing administration and technical support to users of an electronic document management system;
 Knowledge of principles and practices of records management including records retention laws and ability to develop and maintain complex record keeping systems.
