Administrative Assistant Job Vacancy at Lutheran World Federation in Uganda


Job Title: Administrative Assistant (2 Positions)

Duty Station: Rwamwanja Refugee Settlement & Pader Sub Program

Essential Job functions:

    Handles internal and external mail/courier distribution, delivery and dispatch efficiently and maintains an orderly mail/courier register for that purpose;
    Receives and directs telephone calls, radio and e-mail messages as required and maintains an orderly record/log for that purpose;
    Monitors the use of phones by LWF staff, and ensures that particulars of official and personal calls are recorded and forwarded to the Accounts Section for billing and charging purposes;
    Maintains a user-friendly directory of frequently used addresses and telephone contacts;
    Liaises with telecom service providers for billing and related issues and notifies the relevant officers in case of need for intervention to ensure service continuity;
    Receives, verifies and records office supplies procured and maintains accurate records of their issue or usage;
    Displays bulletins, notices and communications on the office notice board;
    Verifies fuel and lubricant requests for motor vehicle and generators;
    Oversees and monitors the proper use and maintenance of office facilities and equipment, and ensures availability of required consumable supplies and timely repairs of equipment;
    Assists in supervising the guard/gardeners, housekeepers, office assistants and drivers, and ensures that they carry out their duties in accordance with their respective schedules; and
    Performs any other relevant duties that may be assigned from time to time by Administrative Officer or his/her designate.

Education, Knowledge & Experience:

    A good Diploma  with bias in general office administration and customer care
    At least 2 years working experience in a related environment. Experience with working in an NGO will be an added advantage
    Possess good writing skills and proficient computer knowledge
    Effective communication and interpersonal skills
    Time management skills
