Job Title: Front Desk Officer
Main Purpose of the Job:
To manage the telephone switch board, and ensure that visitors are well received and given the attention they require.
Key Outputs:
• Visitors attended to
• Telephone switch board managed
• Documents and mails handled
Key Duties and Responsibilities
• Maintain a good front office appearance
• Receive visitors and assist them
• Receive and make telephone calls
• Receive documents/mail and send them to the appropriate officers for action
• Maintain an updated directory of staff and stakeholders’ contacts
• Maintain the Records
Requirement:
PERSON SPECIFICATIONS: Front Desk Officer Minimum Academic Qualifications Diploma in Mass Communication or its equivalent Additional Training: • Training in customer care and public relations will be desirable • Training in front desk management will be an added advantage • Training in HIV/AIDS Counselling will be an added advantage Minimum Experience and Exposure: Experience working in an HIV/AIDS environment is desirable; while experience in front desk management will be added advantage. Special Knowledge; • Management of telephone switchboard • Management of organisational correspondences Key Skills: • Communication skills • Customer Care and Public Relations • Office management skills • Computer skills • Interpersonal skills Other Qualities/Attributes: • Courteousness • Pleasant character • Patience and self confidence • Ability to discern.
