Job Description (Duties):

Our client British-American is a leading financial services organization with global presence in Kenya, Mauritius, London and Malta. Their vision is to be the most trusted financial services company as they seek to offer superior insurance and asset management services to individuals, business corporations and non-governmental organizations. As part of their growth strategy, the company will be diversifying its Insurance operation to the Ugandan market.

Job Purpose:

Ensure full representation on General Insurance, Pension and Group Life Products to clients and intermediaries.

Nature and Scope:

The receptionist is responsible for the professional and efficient managing of visitors, clients, telephone calls and messages, as well as a variety of clerical duties . The role also entails the operation and presentation of a professional office in order to create lasting impression for the success of the company.

Responsibilities:

Provide front-office customer service by greeting all persons getting into the organization and directing them to correct destination;
Operating the telephone switchboard - answer telephone, screen and direct calls, take and relay messages and ensures all telephone lines and extensions are operating as required;
Answering queries and directing clients to appropriate staff;
Filing and maintaining accurate records of business transactions;
Handle inquiries from clients while providing information about the organization;
Coordinate all mail into and out of the office and; receive and sort mail and deliveries;
Dispatches international mail through FedEx, TNT or DHL and maintain records related to this for verification;
Provide information to callers and deal with queries from the public and customers;
Provide general administrative and clerical support;
tidy and maintain the reception area;
Verifies telephone and mobile bills before dispatching for payment;
Allocates extensions to new staff members;
Assists in other duties as needed and directed.



Necessary Qualifications:

Certificate in Secretarial.
Two years in a similar position desirable.
Formal training as a receptionist.
Computer literacy - proficiency in computer/software packages e.g. Microsoft Word, Excel, and PowerPoint etc.
Ability to use office and communications equipment/systems such as fax, e-mail etc.

Excellent written and verbal communication skills including note taking and summarizing skills and the ability to communicate well at all levels in a clear, appropriate and timely manner;

Strong team player with excellent leadership skills.

Neat and well maintained reception area.
Well organized, keen listener and always alert.
Telephones/visitors handled professionally, efficiently and effectively.
Records and files kept up to date and easy to retrieve.
