Role Maintaining communication channels between the office of the Director and other Departments as well as external organizations and individuals.

Position: Administrative Secretary
Reporting to: Human Resource and Administrative Officer
Age limit: 25-40 years
Location: Jinja
Salary scale: UR5 (ii)

Core Duties:
a) Maintaining communication channels between the office of the Director and other Departments as well as external organizations and individuals.
b) Preparing notes, correspondence and reports in accordance to instructions.
c) Operating word processing and reprographic machines and equipment to produce reports and make copies,
d) Responding to telephone enquiries, giving information to callers and routing calls to appropriate officials and also placing outgoing calls.
e) Receiving official visitors and walk-in customers by ascertaining the nature of business and directing them accordingly.
f) Receiving, sorting, recording and distributing mail, general correspondence and documents to appropriate officials.
g) Scheduling appointments and screening requests for meetings, synchronizing and updating the Director's appointments,
h) Preparing both local and international itineraries, confirming travel, freight and hotel reservations.
i) Locating and attaching appropriate files to correspondence or queries as well as organizing filing and retrieval systems.
j) Overseeing the proper maintenance, storage, retrieval of files and documents in order to ensure that they are accessible and secure.
k) Organizing meetings and conferences and accurately recording their proceedings.
I) Monitoring and tracking the progress of various assignments and regularly updating the Director and other members of staff on organizational deadlines and problems.

Qualifications:
a) A minimum of a diploma/Bachelor's degree in Secretarial Studies or related fields.
b) Qualifications in Front Office Management and Public Relations.
c) Must have top keyboard and transcription speeds: (Typewriting 50 wpm and Shorthand 100 wpm).
d) Proficiency in using Word Processing, Excel and other computer software packages, including use of the e-mail, the internet as well as local and wide area network systems.
e) At least four years progressive experience gained in a busy executive environment.
f) Additional training with certificates in Human Resource or Public Relations, Front Office Management, Communication skills or similar fields is are added advantages. Must have obtained a Credit in English.
