JOB TITLE: Finance Assistant
DEPARTMENT: Operations and Programme Support
SUPERVISOR: Finance Officer
DUTY STATION: Kampala
I. JOB SUMMARY: Undertake data entry and timely production of accurate institutional financial statements
from supporting documents for the Finance Unit team in accordance with the Refugee Law Project’s financial
policies and procedures.
II. RESPONSIBILITIES AND TASKS:
The Finance Assistant shall perform the following duties:
• Carry out daily entry of all financial transactions using QuickBooks according to financial policies and
procedures
• Mark all vouchers and receipts that have been captured in QuickBooks
• Advise the Finance Officer and/or Manager on the need for new account codes
• Produce and reconcile computer generated with manual cash books and ledgers, and pass to Finance
Officer and/or Manager to authorize any corrections if any
• Assist in the preparation of monthly financial statements, notably consolidated and grant income and
expenditure budget performance reports and cash flow statements
• Help check financial documents for completeness before posting onto QuickBooks
• Help check that all financial documents are properly filed
• Prepare journal vouchers for non-cash transactions
• Carry out banking duties
• Maintain and regularly update fixed asset register
• Attend weekly staff meetings
III. CONTACTS AND KEY RELATIONSHIPS
The Finance Assistant has to maintain close good working relations with all the Finance Unit staff, Makerere
University Internal Audit and Finance staff, Bank relationship manager. This will facilitate easier flow of
accounting documents.
IV. SUPERVISION AND AUTHORITY
The Finance Officer supervises the Finance Assistant. S/he supervises no one.
V. WORKING CONDITIONS
The position is Kampala based, with occasional visits to field offices. The average working week is 40 hours.
VI. QUALIFICATIONS AND COMPETENCIES
• A degree in Commerce or Business studies from a reputable institution
• Strong conceptual skills to enable holder to implement activities of a fast moving unit
• Implementation of multiple decisions requiring quick problem definition and development of solutions
• Take the initiative and consistently provide practical solutions to urgent problems
• Prior working experience in an NGO environment is an added advantage
• Ability to comfortably work in a team, with minimum supervision and initiate action
• Observance to strict deadlines, attention to detail and ability to stand pressure in a complex environment
• Working knowledge of QuickBooks is a MUST
